Office Manager Position

Salary
$50,000 – $55,600 per year

Repro Rising Virginia is seeking an experienced, reliable, well-organized, and efficient Office Manager who appreciates a fast-paced team and an enjoyment of creating and maintaining a pleasant work environment. The Office Manager is responsible for the organization and maintenance all office operations and procedures while providing direct support to the Executive Director.

Duties include but are not limited to the following:

Responsibilities

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
  • Provide Executive administrative support as necessary, including scheduling meetings, maintaining calendars, arranging travel, doing research, and creating reports.
  • Manage and track long-term program achievements, and progress of the strategic plan implementation.
  • Handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Coordinate with Department Directors and Development Department program-related print and web materials for external audiences.
  • Provides assistance with donor management record keeping and fundraising including events and donor acknowledgements.
  • Manage office inventory, place orders as necessary, maintain office equipment and supplies; request repair or restocking when necessary.
  • Manage relationships with outside vendors (including price negotiations)
  • Answers incoming external emails and phone calls inquires by providing exceptional customer service using critical thinking, problem solving and/or forwarding the calls/emails to the appropriate persons/departments.
  • Receive and sort incoming mail/deliveries and manage outgoing mail by physically picking-up mail bi-weekly, more often during year-end fundraising.
  • Manage approval workflow of expense reports and invoices ensuring that proper supporting documentation is provided in order to properly process payments.
  • Track and renew subscriptions and other regular renewals.
  • Uses and understands Microsoft Office Suite, Google Suite, and other business-specific software.
  • Overseeing the office’s budget by tracking expenses and requisitioning expenses and proposing a budget that meets the needs of the organization’s objectives and principles.
  • Coordinating meetings, socials, and cleaning projects for staff, in order to build community and sense of ownership in the office.
  • Other duties as assigned.

Qualifications

  • Two (2) to five (5) years related experience required; administrative and/or non-profit experience preferred.
  • High School degree or GED equivalent.
  • Hybrid work environment candidates considered will be located in or near the Alexandria area.
  • Reliable transportation preferred.

Skills

  • Proven experience as an Office manager, Executive or Administrative assistant.
  • Experience with expense report approvals.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google applications.
  • Hands on experience with office machines (e.g. fax machines and printers).
  • Familiarity with email scheduling tools, like Outlook.
  • Familiarity with donor management a plus.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Extreme attention to detail and excellent problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.

This position is a full-time exempt role; Monday through Friday (35 hours a week). This position may require additional work hours and/or evening weekend hours during General Assembly and/or fundraising events.

Compensation Package: Starting compensation band is $50,000 – $55,600. (commensurate with candidate experience), with bonus opportunities, plus a robust benefits package which includes medical, dental vision and life insurance plans, long term disability, 401k and generous holidays and personal time off and sick time.
